AI Usage & Disclosure Policy

1. AI provider
The Kenzo AI assistant is powered by Anthropic's Claude API (model: claude-sonnet-4-6). Anthropic is an independent AI safety company. Kenzo AI licenses API access to Anthropic — Anthropic is not an affiliated company and has its own privacy and usage policies.
The AI features are optional. You can use Kenzo AI to manage assets without ever using the chat panel. No data is sent to Anthropic unless you actively send a message.
2. What data is sent to Anthropic
When you type a message and press send in the AI chat panel, the following is included in the API request to Anthropic:
- Your message — the text you typed
- Conversation history — recent prior messages in the saved conversation you are continuing
- Query results from your inventory— when the AI needs to look up data to answer your question (e.g., “which laptops are unassigned?”), it generates a SELECT query against your asset database. The results of that query are included in the API request so Claude can formulate a response.
- A system prompt — a fixed description of the database schema and behavioral rules (does not include any of your specific data).
No data is sent proactively. No background scanning or continuous monitoring occurs.
When you continue a saved conversation, your current message and recent prior messages from that conversation are included in the request to Anthropic so the assistant can maintain context.
3. What data is NOT sent to Anthropic
- Your account password (never stored or transmitted in plaintext)
- Your account credentials or session tokens
- Data from other users or accounts
- Any data while you are using the platform outside of the AI chat panel
4. What AI can and cannot do
The AI assistant can:
- Answer natural language questions about your asset inventory
- Search and summarize data across assets, employees, and locations
- Generate markdown-formatted tables and lists of results
The AI assistant cannot:
- Create, modify, or delete records — the AI is strictly read-only. It can only run SELECT queries. It has no mechanism to write to the database.
- Access data outside your account
- Take any action on your behalf outside of answering questions
- Send emails or communicate with external systems
- Access saved conversations belonging to another signed-in user
Kenzo AI stores your chat messages and assistant responses in its database as saved conversation history. Saved conversations are scoped to your signed-in user and organization and are not shown to other members of your organization.

The AI assistant can make mistakes. It may:
- Return incomplete results if a query doesn't match all relevant records
- Misinterpret ambiguous questions
- Generate plausible-sounding but incorrect answers in edge cases
Always verify important information by viewing the actual records in the platform interface. Do not use AI responses as the sole basis for decisions involving asset disposal, compliance reporting, or audits.
7. Responsible use of AI
When using the AI assistant, you agree to:
- Use it only for asset management queries related to your organization
- Not attempt to use it to extract data from other accounts
- Not use it to generate content that would violate our Acceptable Use Policy
- Not attempt to “jailbreak” or override the AI's safety guidelines
- Avoid entering sensitive personal data (e.g., government IDs, financial credentials) in AI chat queries, since that data will be transmitted to Anthropic
8. Future AI features
We may introduce additional AI-powered features in the future. Any feature that sends additional data types to AI providers will be disclosed in an updated version of this policy before release.
