Acceptable Use Policy

1. Overview

This Acceptable Use Policy (“AUP”) sets out the rules for using the Kenzo AI platform. It supplements our Terms of Service. By using the platform, you agree to comply with this AUP.

Kenzo AI is an IT asset management platform. It is designed for business use to track hardware, software, equipment, and maintenance records within an organization.

2. Permitted uses

• Tracking physical and digital assets owned or leased by your organization
• Assigning assets to employees within your organization for inventory management
• Recording locations for assets within your facilities
• Logging maintenance events for assets you manage
• Using the AI assistant to query and summarize your own asset inventory
• Exporting your own data via the CSV export feature
• Managing user account settings including name, email, and password

3. Prohibited uses

Security and system integrity

• Attempting to gain unauthorized access to other user accounts or Kenzo AI systems
• Testing for vulnerabilities without our explicit written authorization
• Introducing malware, viruses, or malicious code
• Attempting to intercept, monitor, or modify network traffic
• Using automated tools (bots, scrapers, crawlers) to extract data at scale

Content and data

• Storing data you are not legally authorized to hold
• Entering false, fabricated, or intentionally misleading information for the purpose of deceiving others
• Using employee records to store sensitive personal data beyond what is needed for asset assignment (e.g., government identification numbers, financial account details, health information, biometric data)
• Violating the privacy rights of individuals whose data you enter

AI assistant

• Attempting to use the AI assistant to generate illegal, harmful, or deceptive content
• Attempting to override, jailbreak, or circumvent the AI's behavioral guidelines or safety measures
• Using AI queries as a method to systematically extract or exfiltrate bulk data
• Entering confidential data belonging to third parties into AI chat queries

Commercial and legal

• Reselling or sublicensing access to the platform without our written permission
• Using the platform to violate any applicable local, national, or international law
• Impersonating Kenzo AI or creating a misleading impression of affiliation with us

4. Employee data

The employee records feature is designed solely for asset assignment — to record which employee is responsible for a given piece of equipment. It is not a human resources system and should not be used to store:

• Performance reviews or disciplinary records
• Compensation or payroll data
• Health or medical information
• Government-issued identification numbers
• Personal financial information

If your use of the platform involves employee data and you operate in a regulated jurisdiction (e.g., the EU under GDPR), you are responsible for ensuring your use complies with applicable data protection laws.

5. Enforcement

Violations of this policy may result in suspension or termination of your account, without notice in cases of serious violations. We reserve the right to cooperate with law enforcement where required.
